Part II

During the Event

This is the part of the attendee journey where things get personal.

The information you have can be used to benefit the attendees now more than ever. You’ve already gathered valuable attendee insights – and you aren’t done yet. By tracking attendees throughout the event, you end up with a treasure trove of information.

Without onsite tracking, your attendees become ghosts.

Outside of showing up at the registration desk, you really don’t know what they did, where they went, or what they liked (or what they didn’t like). Attendee tracking is key to personalization.

The Experience

When it all comes down to it, personalization is about putting your focus on the attendee experience.

You want to gather information, not so you can spam their email, but so you can make their life easier, and make the event experience more enriching. During your event, you’re able to create individual moments that add up to create a seamless experience. You provide relevant content and compelling interactions. Without personalization, your cookie-cutter event will fall flat.

Lead Tracking

Lead tracking gives attendees and exhibitors the power when it comes to networking. It proves the ROI of attending by providing clear information about leads and ensures that attendees are only given information they want, rather than being mass emailed after the event by an exhibitor.

Social Media

Social media allows attendees to reveal their true thoughts. Your attendees will be typically be blunter on social than they will be in person. Tracking social media will give you an indication of event success and allow you to reach out to attendees and right any wrongs or encourage brand ambassadors to keep sharing.

Your session tracking data will show up in data and analytics and give you all the information you need to know about attendance. Attendees vote with their feet. This data will clearly show you what content does and doesn’t resonate with attendees overall and individually.

Trust me, you want to know where your attendees go. RFID tracking shows you what attendees like and dislike – no need to ask. It gives a clear picture of onsite bottlenecks and successes.

How To Use It

Update or Change Sessions

If your sessions are bombing, you’ll know it. From session-rating to surveys held during the event, your attendees will let you know if something isn’t working. The worst thing you can do is sit on that information. Use it! If a session didn’t work, change it. If a session was amazing and attendees want more – add an encore session to the agenda. Your attendees will appreciate your flexibility and feel heard.

Segment and Target Push Notifications

There’s a lot to be distracted by at conferences. Attendees are used to constant Outlook notifications telling them where to be and when. You can fill that need. Send out notifications five minutes before sessions to remind attendees where to be, and when. Big schedule changes or announcements? Send out a push notification. You’ll keep attendees informed. Only send relevant, personalized information. These notifications should be segmented and targeted. Don’t send mass notifications. It’s all about giving attendees the information they need and nothing they don’t. The more you send that’s relevant, the more engaged they’ll be.

Personalized Agendas

A special, personalized daily schedule view is a wonderful thing. It cuts out the confusion and increases the likelihood that attendees will go to the sessions they signed up for.  Personalization is about making your attendee’s life easier and that’s what a personalized agenda does.

Indoor Wayfinding

It’s stressful finding your way around a new place, so make it easier on your attendees. With beacon technology you can use indoor wayfinding that will make finding the next session a no-brainer. Attendees will input where they want to go into their phone and beacons will ping them with directions as they walk to make sure they get where they need to go quickly and efficiently.

Birds of a Feather

With personalization, you can take away some of the stress of meeting new people. Rather than giant networking sessions where attendees are forced to  mingle in a crowded room, set up sessions based on common interests – which can be gathered in registration – to give them an automatic icebreaker and ensure they are with a group that is interested in the same thing they are.

Social Media and SocialWall

Interact with attendees when they post! Create a selfie challenge to increase social media activity and use SocialWall to create a place for attendees to find what they posted. A photo or video goes a long way – especially when it’s highlighted on the event page, daily email, or on the event’s social wall. Tag attendees that are active on social and give them personalized shout-outs.

Ratings from Sessions

When attendees take the time to rate sessions, reward them. Send the top sessions of the day to make sure they don’t miss out on relevant content or show them how the sessions they attended were rated. They’ll be able to take control of their agenda and change as needed based on session ratings.

Recommend Activities

As you gather data on where they go and what they do, send push notifications or emails with options of more activities to attend. Did they join your event’s morning run? Let them know when they’ll meet up next or that there there’s yoga happening the next day. Keep them up to date on sessions they may not have known existed based on their preferences. If the attendees have attended the event before, send communications based on their interests the previous year.

Respond to FAQ

When you throw a big event, it’s likely that if one attendee has a question, at least five more will ask the same one. Gather FAQ throughout the event and answer them! Send targeted communications to those that asked and general for everyone else that needs it. Say an attendee couldn’t find the coffee the first morning. Send them a notification so they know where to go.

VIP Notification

Your VIPs demand the star treatment and with RFID tracking you can give it to them. Get notified when VIPs check-in to the event or attend sessions so that you can greet them personally.

Targeted Ads

Your mobile event app has a multi-faceted purpose. Aside from being a giant hub of information for all things your event, you can use your sponsors ads to direct attendees to events or speakers that align with their preferences. Personalized what speakers show up along the top of the app based on attendee interests.  You can also call out booths to visit or companies to find.
